Overview

Under the direction of the Director of Pre-Construction, the Proposal Coordinator supports the Pre-Construction team throughout the bid cycle, including maintaining bid schedules and deadlines, assembling and distributing bid packages, soliciting subcontractor and vendor pricing, developing a deliverable matrix, and tracking each bid through submission. The Proposal Coordinator also maintains the department's bid documents, prequalification packages, and historical cost records.

Responsibilities

 

  • Assembles and distributes complete bid packages to the estimating team, including plans, specifications, addenda, and amendments, and maintains version control throughout the bid cycle. Assist with communications, summarizing the bids, sharing requests for proposals (RFPs), amendments, Q&A coordination with the owner, and other updates to the estimating team.
  • Assists with writing/editing/rewriting efforts for proposals, as needed, and ensures that proposals maintain high standards of excellence in appearance, responsiveness, and quality of writing. Reviews the proposal sections to ensure that the requirements are adequately met.
  • Carries out and/or coordinates proposal final production activities for submission, whether hard copy or electronic, through various owner program platforms, including active status on PIEE and various other owner-required forecast tracking and submitting software.
  • Supports bid-day activities, including bid portal uploads, and preparation of bid bonds, forms, and required certifications.
  • Prepares and maintains prequalification packages and owner/general contractor prequal portal registrations, and keeps company license, bond, and insurance documentation current for bid submittals.
  • Other related duties and projects as assigned

 

 

Qualifications

    • Associate or Bachelor's level degree in Construction Management, Engineering, Business Management, or equivalent combinations of training and experience required. One to three years of estimating, bid coordination, or construction administrative support experience is preferred. Familiarity with reading plans and specifications is a plus.
    • Excellent problem-solving skills and strong attention to detail. An open and collaborative style that blends in with our spirit of teamwork and partnership. Sound analytical ability, good judgment, and strong operational focus. Ability to work/function independently as needed.
    • Proven ability to handle multiple projects and meet multiple deadlines, including the ability to manage priorities and workflow, as well as plan, organize, and implement programs and procedures.
    • Excellent oral and written communication, facilitation, and presentation skills.
    • Computer experience, including advanced knowledge of Microsoft Word, Excel, PowerPoint, Outlook, SharePoint and Adobe Acrobat. Experience with estimating and plan-review software such as HCSS HeavyBid and Bluebeam Revu is a big plus.

Pay- $ 24.00      - $  35.00      /Hourly *Depending on Experience
