Overview

Contract Administrators are responsible for organizing and coordinating office operations and procedures to ensure organizational effectiveness and efficiency by overseeing administrative activities. This role will also have elements of Contract management, specifically with Subcontractor contracts, safety compliance, and Insurance.

Responsibilities

  • Support Division Managers as needed with developing presentations, reporting, and subcontract agreement management.
  • Organize office operations and procedures.
  • Manage the coordination of and provide the first point of contact for customers regarding Divisions' prequalification packages, information requests, and proposals.
  • Request, obtain, and track special permits, certificates of insurance, and bonds for Division projects.
  • Supervise local payroll entry for Division employees and coordinate employee checks and reporting with payroll in the Benicia office.
  • Supervise and coordinate client invoices between Division projects and Benicia accounting.
  • Provide first point of contact for employee inquiries and elevate to Human Resources for resolution as needed (keep Human Resources informed of all employee issues, questions, or concerns)
  • Supervises lease agreements, the maintenance and alteration of office areas and equipment, and layout, arrangement, and housekeeping of office facilities.
  • Negotiates the purchase of office supplies and furniture, office equipment, etc., for the entire staff following company purchasing policies and budgetary restrictions, including approving invoices.
  • Supervises the maintenance of office equipment, including copier, fax machine, etc.
  • Responsible for the facilities' day-to-day operations (such as distributing building access keys and backup to security access cards, etc.)
  • Coordinate with the IT department on all office equipment.
  • Ensure accurate and efficient processing of subcontract agreements and work authorizations.
  • Check compliance of all subcontractors requested by the project team.
  • Follow-up to ensure subcontractors are in full compliance (all documents are submitted and approved) before work is performed on-site.
  • Coordinate complete safety compliance with the Safety Director.
  • Communicate all requests for additional information to subcontractors and project engineers.
  • Review subcontract agreements received for any changes or omissions. Any revisions to standard agreements will require executive review/approval.
  • Verify ISN, Goldshovel, and union requirements.
  • Work closely with pass-thru subcontractors to ensure proper and timely processing of agreements.
  • Frequently update subcontractor agreement log to reflect agreement status accurately.
  • Review all subcontractor Certificates of Insurance (COIs) for expired coverages or job-specific verbiage.
  • Request expired insurance from subcontractors and review for accuracy.
  • Work closely with subcontractors to ensure timely submission of required updated information.
  • Other related duties and projects as assigned.

Qualifications

  • High school diploma or equivalent – required.
  • Bachelor’s degree in business, Accounting, or Finance – preferred.
  • Proven office management, administrative, or assistant experience
  • At least two years of experience in administration, or Experience working in construction is a plus.
  • Construction Contract or insurance experience
  • Attention to detail and problem-solving skills.
  • Excellent written and verbal communication skills.
  • Excellent time management skills and ability to multitask and prioritize work.
  • Ability to work extended hours when necessary for business needs.
  • Demonstrated ability to work effectively in a team environment.
  • Ability and willingness to travel as needed.
    • Ability to maintain a valid driver’s license.

  • None

 

Physical Requirements

  • Sedentary work: Exerting up to 10 pounds of force occasionally or a negligible amount frequently or constantly to lift, carry, push, pull, or otherwise move objects. Sedentary work involves sitting most of the time. Jobs are sedentary if walking and standing are required only occasionally and all other sedentary criteria are met. Long periods of using a computer.

 

 

 

 

 

Pay- $  30.00     - $ 40.00       /Hourly *Depending on Experience
